One system for 100+ centres and 11,380 players.

Smurfs FC is Pakistan’s largest football academy. Its back office ran on spreadsheets and WhatsApp: every centre tracked its own fees, and nobody could see the whole network.

We designed, built and now run the platform that replaced it. One record per player, covering enrolment, pitch-side attendance, fees, discount approvals and a parent portal.

The challenge

Money was leaking, and no one could see where.

Fees were tracked by hand, per centre, with no central view. Discounts were agreed in chats and never written down. The owner reconciled 100+ separate returns every month.

We sized the leak first: how much slipped each month, and what stopping it was worth. Then we named the smallest fix: one system that reconciles every fee and flags arrears the day they appear.

The solution

The back office, at academy scale.

We showed a working dashboard with one academy’s real fees loaded. They saw arrears they had never been able to see, and we built around that single view first.

Coaches mark attendance on any phone; marks queue offline and sync when the signal comes back. Finance is owner-only, every discount needs sign-off, and each override is logged: who, when, why.
